Job Description: Project Coordinator – Commercial (Exhibition Booths)

Department: Commercial

Reports To: Account Director / Commercial Manager

Work Location: DC Offices – Al Waha, Riyadh

Event Location: Riyadh Front Exhibition & Conference Center

Job Purpose:

To act as the key liaison between confirmed exhibition clients, internal teams, and external suppliers, ensuring a seamless flow from design request to booth delivery. This role combines commercial coordination, project tracking, client interaction, and data reporting to drive operational clarity and client satisfaction.

Core Responsibilities (Step-by-Step):Client Engagement & Onboarding

· Contact confirmed clients for exhibitions at Riyadh Front.

· Initiate the coordination process and act as their main point of contact.

· Set clear expectations on timelines, deliverables, and processes.

Design Information Collection

· Request and organize essential design inputs: branding guidelines, logos, references, and messaging.

· Ensure all content is complete and ready before engaging the design team.

Internal Design Coordination

· Brief the internal design team based on collected information.

· Follow up on 3D concept development and ensure alignment with client expectations.

· Maintain consistent documentation of design versions and feedback.

Proposal Presentation & Revisions

· Present 3D visuals and design proposals to clients.

· Gather client feedback and coordinate required design changes.

· Manage the approval flow and finalize the design for execution.

Quotation Request & Scope Clarification

· Identify additional or out-of-scope client requests.

· Coordinate with the estimation team to request quotations for any variation.

· Redirect external scope requests to approved suppliers or internal stakeholders.

Stakeholder Coordination

· Liaise with suppliers, production teams, and external vendors.

· Ensure alignment across timelines, technical specs, and delivery scope.

Status Tracking & KPI Management

· Maintain a live tracking log for every client, showing:

· - Current status

· - Design progress

· - Pending actions (from both DC and client)

· - Risks and delivery blockers

· Identify critical paths for priority clients to prevent delays.

· Prepare weekly reports on:

· - Number of clients handled

· - % of completed deliverables

· - Issues pending resolution

· - Delivery-readiness status

Internal Communication & Reporting

· Prepare and share internal briefing sheets for production and execution teams.

· Alert the team to critical issues or potential timeline risks.

· Participate in coordination meetings and status reviews.

Follow-up Until Final Delivery

· Ensure all approved materials are delivered to production.

· Track booth installation progress at Riyadh Front until handover.

· Address any last-minute issues or changes from the client.

Qualifications & Skills:

· Bachelor’s degree in Business, Architecture, Marketing, or related fields.

· 2–4 years of experience in commercial project coordination, exhibitions, or events.

· Excellent communication, client-handling, and follow-up skills.

· Strong organizational mindset with a focus on process and accountability.

· Ability to work under pressure with multiple timelines and shifting priorities.

· Proficiency in MS Office and project tracking tools (e.g., Excel dashboards, Monday.com, Trello, or Zoho Projects).

· Familiarity with 3D design workflows and estimation cycles is a plus.

· Fluent in English; Arabic is an advantage.
