Job Summary:
The Visa Processing Officer is responsible for assisting clients in preparing visa applications, gathering required documents, and ensuring compliance with the respective consulate/embassy guidelines. The officer plays a key role in supporting the travel agency’s visa operations by providing accurate information, timely processing, and excellent customer service.
Job Description:
• Collect and review visa application documents from clients.
• Verify the accuracy and completeness of each client’s application based on embassy/consulate requirements.
• Fill out visa application forms (online or paper) on behalf of clients.
• Provide guidance on the necessary documents required for various visa types (tourist, business, work, etc.).
• Track and manage the status of visa applications and follow up with consulates or embassies when necessary.
• Coordinate with the central visa team (if applicable) for processing and updates.
• Maintain updated knowledge of visa policies, application procedures, and consular regulations for various countries.
• Handle appointment bookings, courier services, and payment processes where applicable.
• Communicate clearly with clients regarding delays, missing documents, or additional embassy requirements.
•Maintain proper filing and digital records of all visa applications and client interactions.
• Support in reporting, analysis, and improvement of visa processing timelines and efficiency.
• Ensure confidentiality and data protection for all client documents and personal information.
Job Requirements:
• Bachelor’s degree or diploma (preferred in Tourism, Business Administration, or related fields).
• Minimum 2–4 years of experience in visa processing or travel agency operations.
• Strong understanding of visa application procedures for Schengen, USA, UK, GCC, and other popular destinations.
• Proficient in using computer systems, especially MS Office and visa portals.
• Good communication skills (Arabic & English).
• Strong organizational skills and attention to detail.
• Ability to handle multiple cases and meet deadlines under pressure.
• High level of professionalism and customer service orientation.
