Responsibilities

·         Prepare memos- minutes of meeting and collate weekly and monthly presentations to summarize tasks accomplished- current activities- obstacles faced and identify pending tasks.

·        Acquire visa acceptance- make flight reservations and hotel accommodations for the Director- Senior Managers and Managers.

·        Create organization charts and update frequent modifications in headcount- promotions- transfers and contract renewals to keep records updated.

·        Interface with other departments on behalf of the division to facilitate communication and work flow.

·        Coordinate with HR- Administration- Security and IT concerning related activities for the division for ex giveaways- technical difficulties- applications- floor needs- etc….

·        Organize meetings- celebrations- Team buildings- and any division related events.

·        Maintain an adequate inventory of office supplies to furnish employees with necessary tools and equipment.

·        Allocate and report damaged equipment- facilities and furniture for repair and maintenance

·        Attend to any employee related problems and/or difficulties and find solutions to facilitate workflow and achieve required results.

·        Follow up on leaves and coordinate with HR and work force to ensure the update of leave records.

·        Follow up on medical claims for staff and ensure all paperwork is complete to be compensated in due time.

·        Assist employees with paperwork- resignations- HRFs and help facilitate processes.

·        Gather and update monthly database and verify employee related info.   

·        Organize Team building rounds for all customer care with all necessary approvals for the lists

 

Qualifications

·        Excellent Computer skills- Advanced MS excel is required.

·        Excellent in spoken and written English

·        Time management.

·        Business writing.

·        Communication skills.

·        University Degree in a related discipline.

·        Minimum 2 to 3 years of experience in a similar field.

·        Administration experience is required.
