Role Description

This is a full-time, on-site position for a Sales Administration Assistant based in ECO WEST HARAM CITY, OCTOBER GARDENS, Egypt. The role involves managing daily tasks such as order processing, accurate invoicing, and maintaining clear communication with clients. Additionally, the assistant will provide exceptional customer service and support the sales team with administrative duties to enhance efficiency and productivity.


Working hours and days off


  • Saturday to Thursday
  • Friday only (weekly off)
  • Official public holidays as per company policy

Key Responsibilities

•Prepare, review, and follow up on sales quotations, brokerage agreements, and client contracts

•Manage and organize brokerage and client contract documentation, ensuring accuracy and compliance

•Distribute sales leads to brokers and sales representatives according to company policy

•Track lead allocation, follow-ups, and conversion status through the CRM system

•Maintain and update customer, broker, and sales records

•Coordinate with the sales team to monitor orders, deliveries, and client commitments

•Handle customer and broker inquiries and support sales representatives with required documentation

•Prepare periodic sales, brokerage, and performance reports

•Liaise with finance for billing, commissions, collections, and contract-related payments

•Ensure compliance with company sales, brokerage, and internal control procedures

•Organize and archive all sales, brokerage, and client-related documents (physical and digital)


Qualifications

  • Proficiency in Order Management and handling Invoicing processes
  • Strong Communication and Customer Service skills
  • High level of accuracy and attention to detail in administrative and sales tasks
  • Proficiency in relevant computer software and MS Office tools
  • Ability to work well under pressure and prioritize tasks effectively
  • A bachelor’s degree in Business Administration, Marketing, or a related field is preferred
  • Previous experience in sales or administrative roles is a plus

Strong organizational and time-management skills

Excellent communication and coordination abilities

  • CRM system proficiency (sales tracking, customer data management, reporting)
  • Proficiency in MS Office (Excel, Word, Email)
  • Attention to detail and accuracy
  • Previous experience in sales administration is preferred
