Position Summary
The HRIS Administrator is responsible for managing, maintaining, and optimizing the Human Resources Information System (HRIS). This role ensures accuracy, compliance, and efficiency in HR data management while supporting HR processes such as payroll, recruitment, learning & development, performance management, and reporting. The HRIS Administrator acts as the primary system expert, providing support, training, and solutions to HR team members and business stakeholders.
Key Responsibilities
System Administration & Data Management
- Maintain the HRIS database, ensuring data integrity, accuracy, and confidentiality.
- Manage system configuration, user access, and role-based security.
- Perform regular audits and data clean-ups to ensure compliance with internal policies and external regulations.
- Coordinate with IT and external vendors on system updates, upgrades, and troubleshooting.
Process & Workflow Support
- Configure and optimize HR workflows (e.g., onboarding, offboarding, transfers, promotions, leaves).
- Support payroll, time & attendance, benefits administration, and performance management processes through HRIS.
- Ensure HRIS integration with finance, IT, and other organizational systems.
- Document HRIS processes and maintain updated SOPs.
Reporting & Analytics
- Generate standard and ad-hoc HR reports (headcount, turnover, payroll, compliance, etc.).
- Develop dashboards and analytics to support HR decision-making and business insights.
- Partner with HR leadership to design metrics (e.g., recruitment funnel, L&D completion, retention trends).
Training & End-User Support
- Provide technical support and guidance to HR team members and system users.
- Conduct training sessions for HR staff and managers on system use and new functionalities.
- Manage change management and user adoption during HRIS upgrades or new module rollouts.
Compliance & Security
- Ensure HRIS practices comply with local labor laws, data protection regulations (e.g., GDPR), and company policies.
- Monitor system security and coordinate with IT on data privacy and cyber security standards.
- Maintain backup, disaster recovery, and business continuity plans for HR data.
Qualifications & Experience
- Bachelor’s degree in human resources, Information Systems, Business Administration, or related field.
- 2–5 years of HRIS administration or HR systems experience.
- Strong knowledge of HR processes (payroll, recruitment, L&D, performance management, etc.).
- Hands-on experience with HRIS platforms (e.g., SAP SuccessFactors, Oracle HCM, Workday, BambooHR, etc.).
- Proficiency in Microsoft Excel, reporting tools, and data analysis.
- Knowledge of HR compliance, data privacy, and reporting standards.
- Strong problem-solving, communication, and stakeholder management skills.
