Job Summary

The Office Administrator is the central nerve of WorkBrand's daily operations, responsible for ensuring all administrative and office processes run with high efficiency and professionalism. This role requires excellent organizational skills, comprehensive management of office facilities, and logistical support for all departments, particularly the Training, Consulting, and Sales teams.


Key Responsibilities

1. Office & Facilities Management

  • Oversee all daily office operations to ensure an organized and presentable work environment.
  • Manage the inventory of office supplies, training materials, and printed collateral; place necessary orders; and ensure all equipment and facilities are in excellent working order.
  • Manage logistical arrangements for meeting rooms and training halls, including setting up technical equipment (Projectors, Sound Systems) before sessions begin.
  • Greet and direct visitors, clients, and suppliers in a professional and courteous manner.

2. Administrative & Financial Support

  • Prepare and coordinate official documents, presentations, and reports using the Microsoft Office Suite (especially Word and PowerPoint).
  • Efficiently manage the physical and electronic filing system to ensure easy retrieval and confidentiality of records.
  • Coordinate with external vendors and manage public utility invoices and general purchasing requests.
  • Organize and maintain basic financial documentation in collaboration with the Accounting department.

3. Communications & Scheduling

  • Manage incoming and outgoing phone calls, correspondence, and the general company email inbox, directing inquiries to the appropriate departments.
  • Assist the Sales and Consulting teams with scheduling client appointments and managing their calendars.
  • Organize and manage travel and accommodation arrangements for trainers, consultants, and management when required.


Requirements & Qualifications

  • Education: Bachelor's Degree in any field (Business Administration or a related administrative specialization is preferred).
  • Experience: A minimum of 2-4 years of practical experience in an Office Administrator or Executive Secretary role.
  • Administrative Skills: Excellent organizational and time management skills, with the ability to handle multiple tasks and shifting priorities effectively in a fast-paced environment.
  • Technical Skills: Complete proficiency in the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) is a mandatory requirement.
  • Languages: Excellent command of both Arabic and English (written and verbal) is required to manage professional communications.
  • Personal Attributes: Professional appearance, highly professional demeanor, and a strong customer and colleague service orientation.
