Responsibilities:
- Schedule and coordinate meetings for internal and external stakeholders.
- Book rooms and conference facilities, ensuring availability and appropriate setup.
- Prepare meeting agendas, distribute materials, and record meeting minutes when necessary.
- Arrange in-house and external events, such as training sessions, workshops, and company celebrations.
- Coordinate event logistics, including venue selection, catering, audiovisual setup, and attendee coordination.
- Manage and maintain event budgets, track expenses, and handle invoices.
- Serve as a point of contact for staff in other departments and external contacts.
- Answer inbound phone calls, redirect calls, and take messages as required.
- Greet and assist office visitors, ensuring a positive and professional experience.
- Coordinate interview schedules and welcome candidates.
- Sort and distribute incoming mail to respective employees promptly.
- Prepare and send outgoing mail, ensuring accuracy and timely delivery.
- Manage and maintain appropriate records and documentation related to mail and correspondence.
- Order and maintain office supplies, ensuring availability and proper inventory management.
- Coordinate repairs and maintenance for office equipment, such as printers, copiers, and telecommunication systems.
- Monitor and track office supply expenses, ensuring adherence to budgetary guidelines.
- Arrange travel and accommodation for staff, customers, and external contacts as required.
- Coordinate transportation logistics, bookings, and itineraries.
- Ensure compliance with travel policies and guidelines.
Qualifications:
- Education: Bachelors degree in any field.
- Proficient use of Microsoft Office and its applications.
- Excellent communication skills.
- Excellent command of both English and Arabic Language.
