This is not a traditional HR role or executive assistant / operation manager. It’s a practical, execution-focused position for someone who can think, organize, follow up, and get things done.
Responsibilities
- Monitor Hubstaff (core hours, attendance, productivity reports)
- Track leaves, absences, and working hours
- Prepare simple weekly/monthly operational summaries
- Coordinate monthly team meetings (planning, booking, follow-ups)
- Manage company assets (laptops, equipment, handovers, documentation)
- Organize and maintain internal files and documentation (Google Drive)
- Research, compare, and evaluate tools (HR, leave management, productivity, internal systems)
- Use AI tools to support research, summaries, and process documentation
- Test internal systems and provide structured feedback
- Support hiring operations (scheduling, assessments, candidate follow-ups)
- Assist with onboarding and offboarding processes
- Create practical workarounds when tools or processes are not working
- Help improve internal workflows and team efficiency
Requirements
- Strong organizational and follow-up skills
- Good command of Excel / Google Sheets
- Comfortable using Google Docs, Drive, and shared tools
- Able to research tools and present clear, practical recommendations
- Familiar with AI tools (e.g. ChatGPT) for productivity
- Problem-solver with a practical, execution mindset
- Comfortable working in a fast-moving startup environment
- Attention to detail and ability to work independently
Nice to Have
- Experience in Operations, HR, Admin, or Project Coordination
- Experience in tech or SaaS environments
- Exposure to time-tracking or HR systems
