Job Description
- We are seeking a highly organized and proactive Executive Administrative Assistant to provide high-level administrative, operational, and coordination support to executive leadership. Our company operates across multiple sectors, with a primary focus on sustainable engineering design and contracting, real estate development, and media production.
- Responsibilities include managing calendars and meetings, Coordinate between all staff in company branches and coordination with 3rd parties and suppliers.
- Organize and prioritize incoming requests, emails, and calls, responding on behalf of executives when appropriate.
- Maintain confidential files, records, and sensitive information with the utmost discretion and professionalism, along with maintaining project files and documentation, assisting with proposals and contracts, and supporting communication with clients, consultants, and contractors.
- Assist with project management tasks, tracking deadlines, deliverables, and follow-ups to ensure timely completion.
- Conduct research and compile data to support executive decision-making and strategic planning. The role requires strong organization, discretion, and the ability to manage multiple priorities in a fast-paced design and construction environment
Job Requirements
- Bachelor’s degree or equivalent experience in business administration, management, or an engineering field.
- 3-5 years of proven experience as an executive administrative assistant or in a similar executive support role.
- Exceptional organizational and time-management skills with the ability to manage multiple priorities simultaneously.
- Strong written and verbal communication skills, with a keen attention to detail.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools.
- Demonstrated ability to handle confidential information with discretion and professionalism.
- Proactive problem-solving skills and the ability to anticipate executive needs.
- Ability to work independently and collaboratively in a fast-paced, office-based environment.
