Job Description
We are looking for an accountable, organized, and proactive profile to join our team as an Office Administrator , to manage office operations smoothly. The office administrator will be the cornerstone of our administrative support, managing facility, supporting employees and maintaining essential office resources.
Responsibilities:
Office Operations & Facility Management:
- Responsible for the office daily opening and closing , ensuring security protocols are followed (locking/unlocking doors and activating/deactivating alarms, if applicable).
- Greeting visitors professionally, and direct guests to the appropriate personnel.
- Receiving and managing incoming calls on the landline, transferring calls and taking messages .
- Managing office equipment and facility and organizing necessary maintenance.
- Monitor and manage office inventory of papers , stationary , kitchen and cleaning supplies etc. , ensuring adequate stock level and timely procurement.
Administrative & Communication Support:
- Manage basic electronic correspondences, including reading and writing professional emails.
- Provide logistical support to employees, including booking flight tickets and assisting with the compilation and arrangement of necessary documentation for embassy visa requirements.
- Organizing and maintaining physical and digital files, managing databases, and ensuring records are kept up to date.
- Coordinating with the contracted IT engineer for any computer hardware or software issues, acting as the primary point of contact and relaying information to the staff.
Fleet management:
- Proactively follow up on the maintenance schedule and management of the company cars “ 5 sedan cars”.
- Monitor and ensure timely renewal of all vehicle licenses and registration documents.
Job Requirements
Requirements:
- 2 to 5 years of experience in an office administration or a similar role is preferred.
- Valid Egyptian driver's license is required. (Proven ability to drive is mandatory)
- Good MS office practitioner
- Strong organizational and tie-management skills with the ability to prioritize tasks.
- Customer focused: you keep the customer front of mind, can nurture, and build a positive relationship.
- Flexible: ease with changing priorities.
- Organized: you set the base and priorities within time frame.
- Communicator: can easily build rapport and run an effective & positive dialog.
- Good English commands
